Wherever we go, there are complaints about communication, often in the workplace. People feel left out of the loop, ignored, taken for granted, not up to date. These expressions are all symptoms that the communication systems that have been set up may not be working properly. In the workplace there are four basic techniques are used in communication: reading, writing, listening and speaking. Each technique has its own set of complexities which few of us really understand or take into account. Many people think that communication involves the transfer of a precise piece of information from one person to another. This is a very incomplete way of looking at communication. Words, gestures and expressions have no meaning in and of themselvespeople give them meaning. Leaders know that their ability to communicate is crucial to their success at helping others achieve their goals. The most valuable contributions we make to our organizations or work teams may well be the thoughts and ideas that we communicate to others. The more value you see in a new idea, the more enthusiastic you are about it. But unless you are able to communicate the idea and the enthusiasm, the idea will go no further. The feelings and emotions that develop during the course of conversation strongly influence the behavior of those involved and ultimately the outcome of the conversation. Once you begin to realize the role that emotions play in communications, you will begin to put yourself in the other persons shoes. This is called empathy or understanding. To respond to the needs of others we must understand their needs. Most people focus on being understood rather than understandingwe are better talkers than listeners; the best leaders focus on understanding. If you really seek to understand you will be amazed at how positively people will respond. There are three principles of successful interpersonal communication: The human mind can only focus on one thought at a time. If you attempt to communicate a number of ideas in an illogical sequence the listeners mind will have great difficulty.
The human mind changes words into pictures. As you begin to understand the needs of others, you will use words that elicit an emotional response in harmony with their needs.
Too many words clutter up communication. When we fail to condense and simplify, we leave the door open to time-consuming misunderstanding.
